India's 30-day invoice window turns backlog age into a production control

Age must be visible before submission
A platform needs the original invoice date, taxpayer population, current queue age, submission attempt, rejection, correction, cancellation, and escalation owner. A generic failed status after the deadline is too late for the control to work.
Source systems also need to prevent silent resets. Reissuing or changing a date can have legal and accounting consequences and should not become an automated workaround for a missed portal window. The correct response depends on official rules and qualified review.
A demo should include an aging queue
Providers should demonstrate invoices at several ages, including an authority rejection near the deadline and a correction tied to an earlier record. The system should identify the remaining time, preserve every attempt, and route exceptions to an accountable owner.
The buyer should then reconcile invoice records, IRNs, QR data, cancellations, credit notes, ledger entries, and returns. The 30-day control is meaningful because it exposes upstream latency across billing, master data, approval, and integration—not because a portal displays another validation message.

Translate this change into the exact population, record type, workflow stage, decision owner, effective date, and evidence that could be affected. Ask current or prospective providers to demonstrate the named workflow with representative data and an exception—not a polished feature tour. Record what official documentation establishes, what a provider states, what the team observes, and what remains unresolved.
A defensible review also identifies the dependency outside the product. Authority interpretation, policy configuration, data quality, integrations, human judgment, approval rights, release governance, training, and retained evidence may remain customer or service responsibilities. The evaluation should preserve those boundaries instead of treating a technology claim as the complete operating model.
